At Webitro Software Studio (“Webitro”, “we”) we care about the privacy of your personal data. This policy explains how your personal data is processed when you visit webitro.com, use the contact form or email us, in accordance with Turkish Personal Data Protection Law No. 6698 (“KVKK”).

1. Data controller

Your personal data is processed by Webitro Software Studio as the data controller.

2. Personal data we process

Identity: your name (optional in the form).

Contact: your email address.

Request details: the content of the message you write in the contact form or email, and anything else you choose to share in it.

Security logs: standard access records kept on our servers so the site runs securely, such as IP address, date and time, pages visited and browser/device information.

We do not ask for special categories of personal data (health, religion, biometrics and so on). Please do not include such data in your messages.

3. How we collect it

Your personal data is collected electronically, by fully or partly automated means, when you fill in the contact form, email us or visit the site.

4. Why we process it

To review your request, get back to you and prepare a quote.

To take the steps needed, at your request, to enter into and perform a service contract.

To keep the site secure and prevent abuse and spam.

To meet our legal obligations and protect our rights in any dispute.

Your data is not used for any other purpose, and we do not send you marketing messages without your explicit consent.

5. Legal bases

Your personal data is processed on the following legal bases under Article 5(2) of KVKK: processing directly related to entering into or performing a contract (5/2-c), compliance with a legal obligation (5/2-ç), establishing, exercising or protecting a right (5/2-e), and our legitimate interests provided your fundamental rights and freedoms are not harmed (5/2-f).

6. Who receives the data

Your personal data is never sold, rented or shared with third parties for marketing.

So that your message can reach us, your data is passed to our hosting and email delivery providers, only to the extent that service requires.

Some of these providers may operate servers outside Turkey. Any such transfer is made in line with Article 9 of KVKK.

Information is disclosed to legally authorised public authorities only where the law requires it, and only to the extent requested.

7. How long we keep it

Contact form and email correspondence is kept while your request and any resulting business relationship are ongoing, and afterwards for the limitation and retention periods set by law.

Server access logs are kept for a limited time for security purposes.

Once the period ends, the data is deleted, destroyed or anonymised.

8. Cookies and similar technologies

Our site does not use advertising, tracking or analytics cookies and does not follow you across sites.

Nothing is stored in your browser beyond what is technically necessary for the site to work. Settings such as your language choice are kept only in your own browser.

9. Data security

We take reasonable technical and organisational measures to protect your personal data against unauthorised access, loss and misuse: the site runs only over an encrypted connection (HTTPS), access to data is limited to authorised people, and the contact form is protected against abuse.

No transmission over the internet can be guaranteed to be completely secure, so we recommend not sharing more personal data than necessary in your messages.

10. Children’s privacy

Our site and services are not directed at anyone under 18. We do not knowingly collect personal data from people under 18, and we delete it if we become aware that we have received any.

11. Your rights

Under Article 11 of KVKK you have the right to: learn whether your personal data is processed; request information about it; learn the purpose of processing and whether it is used accordingly; know the third parties, in Turkey or abroad, to whom it is transferred; request correction if it is incomplete or inaccurate; request deletion or destruction under the conditions in Article 7 of KVKK; ask that corrections and deletions be notified to the third parties who received the data; object to an outcome against you arising from analysis solely by automated systems; and claim compensation if you suffer damage because of unlawful processing.

12. How to make a request

Send requests about your rights to [email protected], with enough information for us to verify your identity.

We respond as soon as possible and within 30 days at the latest, free of charge. If the request involves an additional cost, the fee set by the Turkish Personal Data Protection Board may be charged.

If your request is refused, you find the answer insufficient or we do not reply in time, you have the right to lodge a complaint with the Turkish Personal Data Protection Board.

13. Third-party links

Our site links to other sites, such as our product sites and social media accounts. Those sites are responsible for their own privacy practices; we recommend reading their privacy notices when you visit them.

14. Changes

We may update this policy to reflect changes in the law or in our practices. The current version is always published on this page, and the “last updated” date above shows when it was changed.
