From idea to launch: how a custom software project works, step by step

A custom software project moves in four steps: project, design, development and delivery. What happens at each step and what’s expected from you.

If you have a software idea but don’t know where to start, you’re not alone. Most projects begin with half an idea. A good process sharpens that idea step by step and never springs surprises on you. At Webitro, projects move in four steps.

1. Project: what are we building, and why?

The first step is listening. We talk about the problem you want to solve, who will use the software and what success looks like. By the end, the scope is clear: what goes into the first version and what waits for later. A clear quote and timeline are the output of this step.

2. Design: seeing it before it’s coded

We sketch the screens and the flow: what the user sees on each screen and what happens when they press each button. Changes are cheap and fast at this stage; after the code is written they’re expensive. That’s why nothing gets coded until you approve.

3. Development: building it step by step

We set up a solid foundation and our own team builds the software piece by piece. We show you progress at regular intervals, so you see where things are heading and give feedback early instead of waiting for the last day. For AI parts, we test with real examples to measure accuracy.

4. Delivery: working software, and support after

We launch the software in the environment you choose, your own computer, your server or the cloud, and hand it over working. We walk your team through it. After delivery we provide 24/7 technical support and consulting, and keep improving the software as you need.

What’s expected from you?

  • Describing your business and needs in your own words, no technical knowledge required.
  • Reviewing the screens during design and approving or requesting changes.
  • Trying interim versions during development and sharing feedback.

And if your idea isn’t clear yet, that’s fine, the whole point of the first step is to sharpen it together.

Frequently asked questions

How do I choose a custom software development company?

Ask to see something they built that is running today. Ask who will actually write the code, how often you will see progress and what happens after launch. Clear answers to those four questions tell you more than a polished proposal.

What if I change my mind during the project?

It happens in most projects. A change during design is cheap. For a change after code is written, we tell you the impact and the extra time first, and you decide.

Is working with an AI software development company any different?

The steps are the same, with one extra layer of testing. Parts that use AI are tried against real examples and measured for accuracy, because they may not give the same answer every time.

Who owns the source code?

That belongs in the contract, in plain words. At the quote stage, ask who keeps the code, the data and the accounts, and get the answer in writing.
